Bringing Your Existing Records Into KeyBolt
If you have customer data in a spreadsheet, another CRM, or even exported from your phone contacts, you can import it into KeyBolt in bulk using a CSV file. This saves you from manually re-entering hundreds of customer records.
Preparing Your CSV File
Before importing, make sure your data is in the right format. KeyBolt accepts CSV (comma-separated values) files with the following columns:
- name (required) — customer's full name or business name.
- phone — phone number in any format. KeyBolt will normalize it (e.g., "(555) 123-4567" and "5551234567" both work).
- email — email address.
- address — full street address.
- key_codes (optional) — if you have key codes, separate multiple codes with a semicolon (e.g., "SC1-3456;KW1-7890").
- notes (optional) — any notes about the customer.
Preparing Your File
Create a CSV file in Excel, Google Sheets, or any spreadsheet app using the column headers listed above. Make sure the first row contains the column names and each subsequent row is one customer record. Save as CSV when done.
Importing
- Go to the QuickBooks page in the sidebar.
- Tap "Upload CSV" and select your file.
- KeyBolt parses the file and asks you to map CSV columns to KeyBolt fields. Match each column in your file (e.g., "Full Name") to the corresponding KeyBolt field (e.g., "Name"). Columns that match the template headers are mapped automatically.
- Review the import preview to verify your data looks correct.
- Toggle "Skip duplicates" if you want KeyBolt to skip records whose phone number matches an existing customer.
- Tap "Import" to create the records.
After Import
Imported customers appear in your customer list immediately. They're fully functional — you can create jobs for them, send invoices, and add locksmith-specific data (key codes, bitting, vehicles) to their profiles at any time.
