Control What Your Techs Can See
Why Owners Need This
A locksmith shop holds sensitive data: key codes, safe combinations, customer addresses, and what every customer paid. That information is valuable to know and a real liability if a tech walks away with it. KeyBolt lets you, the owner, decide how much of your shop's history each tech can see.
This setting is on both plans, Basic ($99/mo) and KeyBolt Pro ($189/mo). Only the owner can change it.
Where to Find It
- Go to Settings.
- Open the Team tab.
- In the side menu on the Team page, tap What Techs See. (This section only shows for owners.)
You will see a card titled What your field techs see with three choices and a Save button.
The Three Modes
Each mode is a single radio button. Pick one, then tap Save.
Current job only (Most private)
The tech sees only the customer they are working on right now: name, phone, address, key codes, and bitting. They do not see that customer's past jobs, past bills, past calls, or past messages. They do not see other techs' work.
This is the strongest setting and the one new shops start on by default. It is the only mode that is locked at the database level, so a tech cannot reach the hidden history from any screen, any link, or any export. If privacy is the point, this is the mode to use.
Last 30 days (Recommended)
The tech sees the customer plus the last 30 days of that customer's jobs, bills, calls, and messages. Anything older is hidden. Good for shops that want techs to have recent context without exposing years of history.
Note: this mode is a best-effort limit applied as KeyBolt builds each screen. It is not the same hard, database-level lock that Current job only uses. If your shop needs an airtight guarantee, choose Current job only.
Full history (Most open)
The tech sees everything an office user sees, except billing. Every past job, bill, call, and message for the customer. Good for small shops where every tech is a trusted, long-term employee.
Like Last 30 days, this is a screen-level behavior, not a database-level lock.
Saving a Change
- Pick the mode you want.
- When your pick differs from what is saved, you will see Unsaved changes next to the Save button.
- Tap Save. You will get a confirmation, and the change takes effect right away for every tech.
If you tap Save without changing the mode, nothing happens. It is safe to double-tap.
Who Is Affected
This setting applies to your field tech role. Owners and managers always see full history no matter what this is set to, because they run the shop. Office roles like dispatcher, bookkeeper, and front desk are not limited by this setting.
Only the owner can change it. A manager, even one who can touch most shop settings, cannot. Privacy posture is an owner decision.
What Never Gets Hidden
No matter which mode you pick, a tech can always see what they need to do the job in front of them:
- The customer's name, phone, and address on the job they are dispatched to.
- The key codes, bitting, and safe combinations for that customer, since techs often need them on-site.
- Their own assigned jobs, calls, and messages.
How This Shows Up for the Tech
On Current job only, a tech opening a customer or a job sees just the current work. The customer's older jobs, bills, and conversations are not there. On the tech's Today screen, the page says "Your assigned work for today. Other techs' jobs are hidden."
On Last 30 days, the same screens show the recent window of history. On Full history, they show everything an office user would see, minus billing.
This Is Not About Pay
Privacy modes do not change a tech's own earnings. A tech's commission is tied to their own jobs and is handled separately. See Tech Commissions and Payouts for how that works.
Every Change Is Logged
When you change this setting, KeyBolt records who changed it, when, and what it changed from and to. Owners can review this in the Activity log.
