Usage Limits

What's Included on Each Plan

KeyBolt has two tiers. Both include unlimited jobs, customers, invoices, and estimates.

KeyBolt Basic: $99/month

  • 5 team members, owner plus up to 4 techs or dispatchers.
  • 750 emails/month, invoice sends, reminders, estimate emails, and payment receipts.
  • 25 GB storage, for uploaded documents, job photos, and attachments.

KeyBolt Pro $189/month

Everything in Basic, plus double the team and storage limits:

  • 10 team members, double the Basic seat count.
  • 50 GB storage, double the Basic storage cap, shared across documents, job photos, attachments, and call recordings.
  • Your own business phone line, inbound + outbound voice through Telnyx with a number you own.
  • Browser softphone, answer customer calls from any tab on any device.
  • Two-way SMS shared inbox, conversational texts with customers, plus all transactional SMS ("On My Way", invoice/payment links).
  • Call recording + transcripts, IVR menu, Google LSA integration.
  • Voice + SMS billed by Telnyx at carrier rates with no markup from KeyBolt.

Checking Your Current Usage

Go to Settings > Subscription to view your current usage. Each limit is displayed with a progress bar showing how much you've used this billing cycle. You'll see the count and the percentage at a glance, for example, "467 / 750 emails used (62%)".

Monthly Resets

Email limits reset on the 1st of each month, regardless of when your billing cycle started. Storage and team member limits do not reset, they apply continuously. Telephony usage (voice minutes + SMS) is billed monthly by Telnyx at their published carrier rates and does not "reset", you pay for what you use.

What Happens When You Hit a Limit

When a limit is reached, the action is blocked and you'll see a message explaining why. For example, if you've used all 750 emails, attempting to send an invoice via email will show a notice that your email limit has been reached for the month. The invoice is still created, it just isn't emailed until the limit resets.

You won't be charged overage fees. If you consistently need more than the included limits, contact support@keybolt.tech to discuss options.

Storage Limit

The storage limit applies to all uploaded files: job photos, document attachments, customer files, and call recordings. Basic includes 25 GB; KeyBolt Pro includes 50 GB. To check what's using your storage, visit Settings > Subscription. If you're running low, consider removing old attachments you no longer need.

Tip: Most shops use well under half of the included limits. If you're approaching a limit, it usually means you have a very active month, which is a good problem to have. The limits are there to prevent abuse, not to restrict normal usage.
