Set Tech Schedules and Time Off
What This Does
Tech availability sets each team member's working hours. When your shop number rings, KeyBolt only rings the people who are scheduled to be working right then and who are not on time off. Set everyone's hours once and the phone routes itself.
Where to Find It
- Go to Settings.
- Open Phone & SMS.
- Tap the Tech availability tab.
You will see a card titled Tech availability with your shop timezone at the top and a tab for each team member below.
Set Your Shop Timezone First
At the top of the card, pick your Shop timezone from the list (Eastern, Central, Mountain, Pacific, Alaska, Hawaii). Every working hour you enter is read in this timezone, and the abbreviation shows next to your time blocks so there is no guesswork. This saves on its own as soon as you change it.
Set a Tech's Weekly Hours
- Tap the tech's tab. Each tab shows their name and a quick summary like "3 days".
- You will see a row for every day, Sunday through Saturday.
- Tap the checkbox on a day to turn it on. A start and end time appear.
- Set the start and end. KeyBolt saves automatically when you move off a time field.
- To turn a day off, uncheck it. KeyBolt remembers the hours you had, so checking it back on restores them.
End time has to be after start time, or KeyBolt will tell you to fix it.
Split Days and Breaks
If a tech works mornings and afternoons with a break in between, you can split the day.
- With one time block on a day, tap Add a break (split day). KeyBolt splits the day into two blocks with a gap in the middle.
- To add more blocks, tap Add another block.
- Remove an extra block with the small X next to it. You always keep at least one block on an active day.
The "No cell on file" Warning
If a tech has no cell phone saved, you will see a No cell on file badge on their schedule, with a note that their cell will not ring until they add it. Their hours still save, but no number means no ring. The tech adds their cell under Settings > Account.
Add Time Off
Time off takes a tech out of the ringing pool for the dates you choose, even if they are normally scheduled.
- On a tech's tab, tap Time off to open the section.
- Tap Add.
- Pick a start date and an end date.
- Pick a reason: Vacation, Sick, Personal, or Other.
- Tap Save.
Upcoming time off is listed below. Remove an entry with the X next to it.
If You Do Not See This Tab
- You are on Basic. Tech availability is a Pro feature because it routes the business phone line. Upgrade from Settings > Subscription to unlock it.
- No team members yet. The card will ask you to invite your team first. Add people under Settings > Team, then come back to set their hours.
